Problem

Most firms think they need more leads. They want 50 leads a month instead of 25. They want to scale up, ramp up, and get more volume.

But here's the truth: most firms aren't even converting the leads they already have.

The average PI firm calls a lead once, maybe twice, and then gives up. They assume the lead wasn't interested or went with someone else. But the reality is, most prospects need multiple touchpoints before they sign.

If you're not following up at least five to seven times, you're leaving money on the table. And if you're spending money on more leads without fixing your follow-up, you're just wasting budget.

Story

I worked with a firm in Sacramento that was spending about $15k a month on leads. They were getting around 40 leads a month and signing maybe 5 cases. They wanted to double their lead volume.

I said, "Hold on. Before we do that, let's look at your follow-up process."

Turns out, they were calling each lead once or twice and then moving on. No email follow-up. No text messages. No system.

We built a simple follow-up sequence: call on day 1, call on day 2, text on day 3, email on day 4, call on day 7. That's it.

Their signed case rate went from 12% to 21% in 60 days. They didn't buy a single extra lead. They just followed up better.

Implementation

Here's what you need to do:

  1. Track how many times you're currently following up with each lead.

  2. Build a simple follow-up sequence: at least 5 touchpoints over 10 days.

  3. Use a mix of calls, texts, and emails so you're not just relying on one channel.

  4. Set reminders or use a CRM to automate follow-up so nothing falls through the cracks.

  5. Measure how many signed cases come from follow-up vs. first contact.

You don't need more leads. You need better follow-up.
