Hey, it's Joe from Atrium Leads.
I am emailing you a one-minute idea to help you sign more PI cases.
The topic of this newsletter is why the first two minutes after a lead comes in are more important than anything else you do in marketing.
Problem
Most PI firms obsess over the wrong things. They want cheaper leads, better traffic sources, or fancier ads. But here's the truth: none of that matters if you're slow to respond.
The first 120 seconds after a lead comes in decide whether that person becomes a signed case or calls the next firm on their list. Speed to lead is the single biggest factor in conversion, and it's not even close.
When someone fills out a form or calls your office, they're emotional. The accident just happened. They're scared, confused, and looking for help right now. If you wait 10 minutes, an hour, or until the next day, that emotion fades. They've already talked to two other firms. You've lost.
The firms that respond in under two minutes sign cases at double or triple the rate of firms that wait. Same leads. Same quality. The only difference is speed.
Story
I was working with a firm in Tampa that was frustrated with their lead vendor. They said the leads were garbage and wanted to switch. I asked them one question: "How fast are you calling these people back?"
Turns out, their intake person was calling leads back within 30 to 45 minutes. Not terrible, right? Wrong.
We ran a test. For two weeks, they committed to calling every lead within 90 seconds. Same vendor. Same leads. Same everything.
Their signed case rate went from 11% to 19% overnight. Cost per signed case dropped from around $4,100 to $2,300. They didn't change the leads. They changed the clock.
Implementation
Here's what you need to do right now:
Track how long it takes from the moment a lead comes in to the moment your team makes first contact.
Set a hard rule: every lead gets called within 120 seconds, no exceptions.
Use call routing or automation to make sure leads go directly to whoever is available fastest.
Measure your contact rate and signed case rate before and after you tighten up speed.
If you can't hit 120 seconds consistently, you have a staffing or systems problem that needs fixing before you buy more leads.
Speed is free. It doesn't cost you anything to call faster. But it's the difference between signing cases and wasting money.
Hope you find this useful,
Joe
