Hey, it is Joe from Atrium Leads.
I am emailing you a one-minute idea to help you sign more PI cases.
The topic of this newsletter is why your intake team hates your CRM and what it's costing you.
Problem
You're spending thousands on leads every month. Your intake team is working hard. But your conversion rate is still terrible.
Want to know why? Your CRM is probably getting in the way.
Most law firm CRMs are clunky, slow, and built by people who have never actually worked intake. Your team has to click through five screens just to log a call. They can't see the lead's information while they're on the phone. Follow-up reminders don't work. The mobile app is garbage, so they can't respond quickly when they're away from their desk.
And here's what happens: your intake team starts taking shortcuts. They stop logging calls properly. They forget to set follow-ups. They lose track of leads that needed a callback. Important details get missed because entering them into the system takes too long.
A lead comes in, your team calls within 2 minutes (great), but then they can't find the lead's accident details in the CRM during the call, so they sound unprepared and unprofessional. The lead hangs up and calls the next firm on their list.
Your CRM should make your team faster and better. Instead, it's making them slower and sloppier. And it's costing you signed cases.
Implementation
Here's what you should do next:
Ask your intake team what they hate. Seriously, just ask them. They'll tell you exactly what's broken. Write it down. These are the friction points killing your conversion rate.
Track speed to lead by person. If some team members are consistently slower to respond, it might be because they're struggling with the CRM. Fix the tool, not the person.
Test the mobile experience. Pull up your CRM on your phone right now and try to log a call or update a lead. If it takes more than 30 seconds or requires zooming in to read anything, your mobile experience is broken.
Simplify your intake workflow. Count how many clicks it takes to complete a basic intake call from start to finish. If it's more than 10, you're wasting time. Look for ways to streamline.
Consider switching if it's really bad. Yes, switching CRMs is a pain. But if your current system is costing you 5-10 signed cases per month because your team can't work efficiently, you're losing way more money by staying put.
Your CRM should be invisible. Your team shouldn't even think about it. If they're complaining about it, fighting with it, or working around it, you have a problem that's directly impacting your bottom line.
Hope you find this useful,
Joe
